Terms & Hire Conditions

Please read the following terms before booking your campervan with Karen & Co. By making a booking, you agree to these hire conditions and any rental agreement signed on collection.

Before you book

• Minimum hire: 2 nights
• Collection: 2:30pm from Karen & Co. HQ, Ballymoney
• Return: 10:30am
• Late check-out: Available for £30 and can be added at checkout
• No Sunday pick-ups
• Sunday drop-off is fine
• Payment: Full payment is required at the time of booking
• Security deposit: A £300 security deposit is required on collection by debit or credit card and will be returned within 10 days

Driver requirements

To hire and drive a Karen & Co. campervan, all drivers must:

• Be aged 21–79
• Hold a full driving licence for at least 2 years
• Have no more than one fault claim within the past 5 years

Only approved drivers listed on the booking may drive the campervan.

Motoring convictions

Motoring convictions may affect your eligibility to hire. Minor convictions (up to 6 points) may be accepted. Higher-level offences, multiple convictions, or disqualifications may require additional approval or may not be accepted.

Karen & Co. reserves the right to refuse hire if a driver does not meet the insurer's requirements.

What to send us before your trip

Before your hire begins, we require the following for each driver:

• A valid photocard driving licence (must be in date and show your current address)
• Two separate proofs of address dated within the last 90 days
• The name and address on your driving licence must match both proof of address documents
• A completed and signed rental agreement (signed on the day of collection)

For non-UK licence holders, a passport must also be provided.

Accepted proof of address

Any two of the following, dated within 90 days of your hire start date:

• Electricity, water or gas bill or statement
• Broadband or landline bill
• Council Tax bill
• TV Licence
• Bank or credit card statement
• Mortgage statement
• Polling card
• HMRC self-assessment or tax credit documents
• Student loan correspondence
• Shotgun licence
• Payslips
• Pension letters
• Car finance or loan statements
• Property deeds
• Mobile phone bills

Payment & cancellation

Full payment is required at the time of booking.

If you need to cancel your booking, the following refund terms apply:

• More than 30 days before collection: 80% refund
• Within 30 days of collection: 50% refund
• Within 72 hours of collection: No refund

Your £300 security deposit will be returned within 10 days of your return, provided the campervan is returned in the same condition and without damage.

Booking amendments

If you need to change your booking dates after confirmation, amendment fees apply (excluding any additional extras):

• More than 14 days before collection: 10% of the original booking cost
• Within 14 days of collection: 25% of the original booking cost
• Within 7 days of collection: Booking dates cannot be amended

All amendment requests are subject to availability.

What's included in your hire

• Insurance for one approved driver
• 24/7 breakdown cover
• Gas for cooking
• Pots, pans, cutlery, plates and kitchen essentials
• Fuel supplied at a minimum of quarter tank
• Free on-site parking
• Unlimited mileage for Premium campervans
• Restricted mileage for Classic campervans

What's not included

• M50 toll charges
• Additional cleaning if the campervan is not returned in a similar condition to how it was collected
• Out-of-hours collection or return
• Any fines, penalties or charges incurred during the hire period

If you pass through the M50 toll, please pay it online. A £20 admin fee will apply to any unpaid tolls.

Classic & Premium campervans

Classic campervans

Classic campervans are approved for travel within Northern Ireland and Donegal only and include restricted mileage.

Please note that our Classic campervans are older vehicles and may come with some of the quirks and character you would expect from vans of their age.

Premium campervans

Premium campervans are approved for travel across the island of Ireland and include unlimited mileage.

Collection & return

Collection takes place from Karen & Co. HQ, Ballymoney at 2:30pm, unless otherwise agreed.

Return is by 10:30am on the agreed end date of hire.

Late check-out may be available for £30, subject to availability and must be added at checkout.

No Sunday pick-ups are available, although Sunday returns are permitted.

Please return the campervan clean and tidy, with all included items returned.

Additional terms

All drivers must comply with UK driving laws and regulations throughout the hire period.

Failure to provide the required documentation or meet eligibility criteria may result in the hire being declined.
